How to rent with New Mills Properties

Find a room (or a flat or house) that you like

Browse our website to see all of our available and upcoming rooms. All vacancies are also published on OnTheMarket and social media. However, the first people to hear about vacancies are those registered to receive email alerts. Email lettings@newmillsproperties.com to sign up for email alerts.

Get in touch and answer a few questions

Message, call or email and we will ask you a few questions about yourself to ensure that you can afford to rent the room. We will send you a link to a form and ask you to complete details about yourself. Your information is not passed on to anyone and is only used to help us assess whether you are a serious and suitable applicant. We will not add you to our mailing list without your express permission.

Arrange a viewing

We can show you around the property online or in person, whichever is most convenient for you.

Reserve the room

Pay a holding deposit to take the room or property off the market. The holding deposit amount is the equivalent to 1 week’s rent. When you have reserved the room we will start the application process and check your references.

Finalise your move in

With your references and credit checks approved you will:

  • Review and sign your tenancy agreement
  • Pay your security deposit
  • Pay 1st months rent (less amount paid for the holding deposit)
  • Agree a move-in date

How your references will be checked

To be sure that you are a suitable tenant we will check your credit rating, earnings and references from previous landlords.

It is important to be open and honest on your application, failure to declare finance related court orders for example, may result in your application being denied.

It usually takes just a few days to check your references. The sooner you send your information, the sooner checks will be completed.

Complete an online form

We will email a link to you from our referencing partner Let Alliance. You will need to complete details about yourself and attach bank statements and payslips covering the previous three months. Your personal information is secure and is not shared with us. Let Alliance will make the following checks.

Electoral roll verification

Our referencing partner will check that the information you have provided matches that on the electoral roll.

CCJs Bankruptcy and IVAs

You will be checked for any outstanding debts or finance related court orders not disclosed on your application.

Non-disclosed addresses

We will check for addresses that you have lived at but not declared on your application.

Cross application check

Checks will be made against previous tenancy applications you may have made.

Income verification

Your employer(s), or if you are self-employed your accountant will be contacted to confirm that you are earning enough money to afford to rent the room or property.

Previous/current landlord

If you have rented before, a reference will be sought from your current or previous landlord.

Right to Rent

If you are a national of another country we are legally obliged to check your documents to ensure that you are allowed to live in the UK.

 

After conducting these checks our referencing partner will tell us if you have passed or failed the checks.

How to move into one of our rooms, flats or houses

The process of moving into one of our rooms, flats or houses is very straightforward but we do have to do things in a certain order to ensure that we protect your money and follow all legal rules.

Pay a holding deposit

When you have found a room, flat or house you like, let us know and we will email you a holding deposit form. You pay the equivalent of 1 week’s rent then, sign and return the form. If your application is successful the holding deposit amount will be deducted from your first rent payment.

Please make the payment before signing the form as once the form is signed you will no longer be able to see the payment details.

Credit checks and referencing

Once payment has been received we will notify our referencing partner, Let Alliance, who will contact you via email. Please see above for more details about how credit and referencing checks are carried out.

Set a move-in date

If you pass the credit and referencing checks we will ask you when you would like to move in. We will both work towards this date so that you can move in when it suits you.

Read and sign the Tenancy Agreement

We will email a Tenancy Agreement to you. It is the legal agreement that sets out the terms and conditions for your tenancy. Please read it carefully, ask us about anything you would like clarifying and sign it electronically.

Read the accompanying documents

With your Tenancy Agreement we will email some important documents about your property. These include a copy of the  property’s gas safety certificate and information about the deposit protection scheme. We will also send a guide about how to report any repairs that might be needed in the future and if you are in a shared house, we will send you some additional information about shared houses. Please read them carefully.

Pay security deposit and first month’s rent

We will confirm the security deposit amount. For flats and houses it is usually the equivalent of one month’s rent. For rooms it will be the equivalent of 5 week’s rent but will be reduced to £200 if you have a home or working guarantor.

Your first month’s rent will be reduced by the amount you have paid as a holding deposit. Rent is usually paid on the 1st of each month. If you do not move in on 1st, your first rent payment will be adjusted to cover the remaining days of the month.

Deposit Protection

You will receive an email from the Deposit Protection Scheme confirming that your deposit is held in a government scheme and not with New Mills Properties. You should keep this email as it will include details of how to claim back your security deposit at the end of your tenancy.

Set up standing order

When you have paid your first month’s rent you should set up a standing order so that your rent is automatically paid on the 1st of each month.

Collect keys

On the agreed move-in day, when initial payments have been made, we will arrange for a set of keys to be added to the property key safe or you can collect them from our office, if you prefer.
