Paying Your Rent
We recommend that you set up regular rent payments directly from your bank account to save you time and to avoid paying late payment fees. Download a copy of our standing order form, complete it and hand it in at your bank. Don’t forget to include your unique reference number otherwise we will be unable to locate your payments.
From time to time we all face unforeseen circumstances that can make it difficult to pay our bills. Our Budgeting magazine is a comprehensive introduction to sensible financial management, designed to help you minimise these kinds of difficulties.
To help you manage your rent payments you can create an account on the PayProp Tenant Portal at http://uk.payprop.com/tenant/login. This is a convenient way to check when your next rent payment is due, when your last payment was made and if you have any outstanding payments. General Repair And Maintenance Procedures
Please familiarise yourself with the location of your mains electric switch, water stopcock and gas shut off point. For tenants in shared houses you can find this information in your handbook pinned to the notice board.
- All repairs can be reported via the website Repairs and Maintenance Button 24 hours a day.
- Please fill out the form giving as much detail as possible and upload any photos you have, this will help your issues to be dealt with by the correct person in a timely manner.
- Once we receive your repair we will update you on the progress via the website repair portal.
Using the website repair portal is the most efficient way for you to report general repairs.
Condensation

Legionnaires Disease
We have taken precautions to ensure that your water supply is clean and safe to drink. To ensure that it remains so during your stay please download and keep a copy of this Legionnaires Disease information.
Fair Use Guide For Gas And Electricity: Shared Houses
- switching off lights and appliances after use;
- ensuring the thermostat is not turned up higher than the standard comfortable temperature of 21 or 22 degrees;
- ensuring the boiler is not set to a constant setting and is set to come in at times when needed to (Steps have been taken by installing Hive to enable the heating to be controlled externally). The temperature has been set to 22 degrees and is controlled by a timer to come on at certain times) ensure the house is comfortable when people are in it;
- ensuring radiators are not left on when not in use and that windows or doors are not opened to control the heat!
- drying washing outside when sunny rather than using the tumble dryer, if provided;
- not putting the dishwasher on, if provided, or washing machine for only a few items, instead waiting for a full load;
- notifying the maintenance team if the house seems to be too hot or too cold or for any other problems with heating.
Check Out/Deposit Return Process
If you are planning on vacating the property, please be aware you will need to serve the correct notice to run in line with your tenancy agreement. Your notice must be given in writing. You must state the date you are writing the notice, your full name and address and your intended move out date. This can be done via email or handwritten and given into the office.
Example:
- If you moved into the property on the 15th March 2022 your notice cannot end before the 15th September 2022 (6 months after moving into the property).
- Your notice must be a clear month to run inline with your move-in date. If you moved in on 7th of any month then your notice must be handed in on the 7th of any month to end on the 7th of the following month (these are the terms of your tenancy agreement). If you are unsure, please ask in the office and we can explain further.
Once we receive your notice we will contact you to arrange a date to come to the property and do a check out report. We can only carry out the check out once you have fully vacated the property, all personal belongings are removed, and the property is how you are intending to leave it.
There is no obligation for you to attend the property, but you can be present if you wish. We will need the keys returning to us and possession of the property handed to us before we can start the deposit return process.
During the check out we use the inventory provided at move-in as a guide. From this we can clearly see any changes to the property that have occurred during your tenancy. Your inventory may be used as evidence should your landlord require any deductions to be made from your deposit.
If there are no deductions to be made to your deposit, then we will log onto https://www.depositprotection.com/ and enter this. You will then need to log onto the same website and in the tenant section enter your deposit ID and deposit repayment numbers to agree this. These will have been emailed to you at move-in using the email address provided to us. If you have no email address you will have received a letter with them on. Please also have your bank details to hand as these will be needed.
If there are deductions to be made, then we will contact you to discuss the check out report and explain what the deductions are. You will again be able to log onto the deposit protection service website to agree/disagree with these deductions.
The return of your deposit can take up to 10 days. The process may take longer if there are any disputes.
